E-Gov Basics Feature List

Citizen Request Management (CRM)

  • Give your residents and local businesses a convenient way to use the Internet to make suggestions, request information, and request action-any time of day or night.
  • Enable all your forms to be completed online. Use for service requests (reporting potholes, etc.), applications (permits, licenses, etc.), and communications to officials.
  • Staff time is reduced, because forms are legible (no deciphering handwriting) and complete (no missing information).
  • Staff interruptions are reduced, because requests can be made online and requesters can get email updates or check request status online.
  • Create a complete request tracking and monitoring system by also entering phone and mail requests.

    Components:
    • E-Gov Citizen Requests enables members of the public to easily locate and complete the appropriate form to make requests and complete applications online. Users can track request status using tracking numbers, or they can register and login to get updates on all their requests. Staff can send email updates when information for is updated. Forms will "auto-complete" contact information for registered users.
    • E-Gov Forms Creator lets you build a unique request form for each request type, so you always get the specific information you need to take action. No need to call back for more information. Forms can include check boxes, drop-down lists and other typical Web data entry formats. You can specify your own forms.
    • E-Gov Alert Manager immediately routes the requests to the designated individuals in your organization for follow-up (and reminds them or their supervisors, if not resolved within a pre-specified time). Alert Manager also allows authorized staff to define the department (internal view) and category (public view) for each form. You can specify your own departments and categories.
    • E-Gov Request Manager tracks all actions taken with time stamped record of who entered update. Staff updates whenever status changes or action taken to resolve request. Requests can be reassigned (which generates email to new person).
    • E-Gov Request Query/Reporting Tool allows management to get up-to-the-minute results. Examples:
      • Check status of any pending or completed request by requester name or other criteria.
      • Determine age of requests by department.
      • Report on results for all requests for month.

Document Manager

  • Give the public a convenient way to use the Internet to access all your public documents-any time of day or night.
  • Staff time is reduced, because the public can get the forms they need with no staff involvement.

    Components:
    • E-Gov Documents enables the public to easily find the online document they want. All documents are stored in a single document repository, with familiar folder icons for convenient grouping. Keyword search (including contents) makes it easy to locate relevant documents. Documents and document folders can be accessed from your main website with direct links. Use for downloadable forms, council agendas and minutes, ordinances, and newsletters.
    • E-Gov Documents Manager allows authorized staff to quickly and easily upload documents to your website from any PC. Each department can manage its own online documents, with no special web skills or additional IT support required. You may add a separate approval step before documents are added to the website.

Online Payments

  • Give your residents and local businesses a convenient way to use the Internet to make credit card payments for utilities, traffic tickets, etc.-any time of day or night.
  • Staff interruptions are reduced, with fewer walk-ins and calls.

    Components:
    • E-Gov Payments enables the public to easily make payments online, using PayPal, VeriSign, or whichever popular payment gateway you select. Users can register to simplify payment entry and view previous payments. Forms will "auto-complete" basic information for registered users.
    • E-Gov Payment Manager tracks all payments received with time-stamped record. Print list of payments received for entry into accounting systems.

Community Calendar

  • Give the public a convenient way to use the Internet to find the times of community meetings and events-any time of day or night.
  • Staff interruptions are reduced, with fewer calls and easier calendar maintenance.

    Components:
    • E-Gov Calendar is a visual calendar with information about all your events. Calendar items can be easily linked to web pages, documents (like meeting agendas), or request forms. Public view includes both calendar and list formats. Key-word search makes it easy to find the desired events. Events can be put into user-defined categories (which will display in different colors) to make it easy to identify a particular event type. Users can choose to view only a single event category or all categories.
    • E-Gov Calendar Manager allows non-technical staff to maintain the calendar- with no special web skills or additional IT support required.

Security Management

  • You have complete control over access to your administrative site.

    E-Gov Security Manager:
    • Allows designated staff to control access to administrative functions of the website.
    • Access to each area (CRM, Payments, Documents, and Calendar) and each specific function can be separately controlled.
    • CRM access can be limited to own requests, own department requests, or all requests.
    • Document access can be limited to particular document folders or all documents
    • Only specific individuals will have access to security management.
